Privacy notice: Super Sophia Halloween books

What this is for
We make personalised copies of two Super Sophia Halloween books, Luca's Trick or Treat and It's Halloween – Are We Scared?, with your child, the people who go out with them, your front door and, if you have one, your cat. You can order one or both. You answer the questions once, and we use the same photos and the same family picture for each book you order. We also make a Happy Halloween colouring page of your family from that picture. This notice covers what we collect to do that, and nothing else.
What we collect, and why
• Your email address: to send you your link, your family picture, your colouring page and your proof.
• Your child's first name and age; the first names or family names (Mummy, Grandma) of the other people in the book; roughly how tall each person is; costumes; your cat's name and colour: to fill in the story and draw everyone the right size.
• Two photos of each person (a face and a full-length) and one of your cat: to draw each person so your family recognises them.
• One daytime photo of your front door and its step or path: to draw your front door in the book.
• The conversation you have with the guide while you fill in the details: to make sure we have what the book needs.
• Your delivery address and payment details: taken by our payment provider when you pay. We do not see your card number.
Please do not send photos that show a house number, a street name, school uniform with a school name, or other people's children who are not in the book.
Your consent
For each person in the book you tick a box before you add their photos. For a child, you tick as their parent or guardian. You can withdraw consent at any time by emailing us; that does not undo anything we did before you withdrew.
Who handles it for us
We use other companies to make your book. They process your information only to do that job.
• Replit hosts our ordering and approval pages and stores your uploads privately. It receives everything you enter and upload.
• Anthropic runs the guide you talk to, and checks that each photo and picture is usable. It receives your conversation, your photos and our pictures.
• fal draws the pictures, using drawing systems made by OpenAI and Google. They receive your photos and our drawing instructions.
• Stripe takes payment. It receives your payment details and delivery address.
• Bookvault prints and posts your book. It receives the finished pages and your delivery address, never your photos.
• Zapier and Notion pass on and record your order's progress. They receive text about your order (names, costumes, status), not your photos.
• Google provides our email and documents. It receives your email address and your messages to us.
Some of these companies are in the United States. Stripe, Zapier and Google have signed up to the UK–US data bridge, which the UK government recognises as protecting your information. Replit, Anthropic, fal and Notion protect it under contract terms approved by the UK's Information Commissioner. You can ask us for a copy of these terms.
How long we keep it
Your photos, including the photo of your front door: 30 days after the last book you ordered arrives. The approved family picture: 12 months after the last book arrives. The page pictures and the print file for each book: 12 months after that book arrives, so that we can reprint it or make you another copy if you ask. Your colouring page: 30 days after we email it to you. Pictures we drew and did not use, and the notes from our checks on them: 30 days after the book they were made for arrives.
If you cancel an order before its book arrives, everything we hold only for that order goes 30 days after you cancel; if you cancel every order, your photos and family picture go 30 days after the last cancellation. The order record (first names, status and cost, no photos): kept as a business record. You can ask us to delete your photos sooner at any time. Payment records are kept as the law requires.
Your rights
To see what we hold about you and your child, to have it corrected or deleted, to object, and to take back your consent. Email lester@dontdelayreality.com. If you are unhappy with how we handle it you can complain to the Information Commissioner's Office (ico.org.uk).
Pictures made by software
Pictures are made by software and checked by software. You approve your family's picture and your proof yourself. A person at Don't Delay Reality also looks over your book's pages before they are printed, and looks at your family's picture where our checks have flagged a problem.
